These FAQs are for individuals who are using the VicHealth Online Grant Management System to apply for an Active Club Grant.

1. My club/organisation registered for an Active Club Grant online last year however I have forgotten my user ID/login – what do I do?
Registrations made on the VicHealth Online Grant System used in previous years could not be transferred and you will need to register again.

2. I've forgotten my password – what do I do?
If you already have an account, we cannot retrieve your password but you can request a new password. On the User Login page click on ‘Forgot your password. Click here’. A new password will be emailed to the email address you used to register. If you prefer, you can request a new password by contacting the VicHealth IT Help Desk or (03) 9667 1380.

3. A draft application is shown in the Open applications section with a Project Title including ‘INSERT ORG NAME HERE’. What is it?
A draft application is created whenever you start an application by beginning the Eligibility Quiz. You can either continue this application by clicking on the link, or delete it by clicking the bin icon in the Action column. You will be prompted to alter this text to your organisation name once you continue the application.

4. I have submitted an application. I want to submit another application for a different club/organisation. Can I use the same User ID (email address)?
Yes, you can log in using your same email address on the ‘Please Sign In’ screen, and create a new application for a different club via ‘Click here to lodge a new Active Club Grant 2010-11 Application’.

Initial emails regarding your application will be sent to the email address you used to register.

5. I’m getting an error message when I try to submit my application.
Check that you have entered text in ALL the mandatory fields on EVERY page – the problem entries will be highlighted with a red arrow. If no validation errors are shown, yet you still cannot submit, please contact the VicHealth IT Help Desk or (03) 9667 1380.

6. I can’t find my draft application. Where is it?
If it’s not under the ‘Open’ section on the Online Application and Management System it has not been saved. You need to select the button 'Save & finish later' at the bottom of the application form pages otherwise your work will be lost when you click out of the page.

7. How can I print my full application before I submit it?
You can print your application at any time. While editing the application, hit the Printer Friendly Version link at the top of the page, then select File, Print from the browser menu (shortcut Ctrl+P in most browsers). Afterwards, you will need to close the opened window.

To print a saved draft, go to the Online Application and Management System screen, go to the Open applications section, click on the draft application, hit the print icon, then Send to Printer. Afterwards, you will need to close the opened window.

8. How can I print my full application after I submit it?
From the Online Application and Management System screen, go to the Submitted section. Click on the submitted application, then the print icon and then Send to Printer. Afterwards, you will need to close the opened window.

9. How can another person from my club/organisation manage the club’s grant online?
Grant applications can only be accessed online with the email and password that was used to register. If you wish to change the registration email address and password, please contact the VicHealth IT Help Desk or (03) 9667 1380.

10. I keep having to complete the eligibility quiz to get to the application form – what should I do?
The eligibility quiz needs to be completed before beginning the application process. Once you have completed the quiz, you can save a draft copy of the application form which is accessible under Open applications. This allows you to complete the application at a later date without having to complete the quiz again.

11. My email address has changed. Can it be changed in the Grant Management System?
The email address you used to register cannot be changed in the Grant Management System. To change your registration email address, please contact the VicHealth IT Help Desk or (03) 9667 1380. 

12. How do I CHANGE or EDIT the address or phone number of the existing primary contact for the club/organisation or grant application?
Once a grant application has been submitted, changes to associated contacts cannot currently be performed via the online system. Please email your changes.

13. My club/organisation doesn’t have a bank account – what should I do?
If your club/organisation does not have a bank account you are ineligible for the grant – please refer to the funding guidelines or contact VicHealth on (03) 9667 1308.
